Privacy Policy

1. About This Policy and AskHumans

AskHumans, LLC ("the Company," "we," "us," or "our") operates the website askhumanshq.org and the AskHumans platform (together, the "Service"). The Company is located at 1015 15th Street NW, Suite 600, Washington, DC 20005.

AskHumans provides AI-assisted aggregation of open-ended employee feedback. Employers and people analytics teams ("customers") upload free-text survey responses, exit-interview text, and pulse-survey data. The platform clusters those responses into themes weighted by which stakeholder groups are most affected, and delivers the output to the customer as decision-ready briefings.

This Privacy Policy explains two distinct data flows: (1) information we collect from visitors to askhumanshq.org; and (2) employee response data that customers submit through the platform for processing. Please read both sections carefully, as they reflect different legal relationships.

2. Website Visitor Information

2.1 Information You Provide

We collect information you submit directly, including:

  • Contact details (name, email, phone) when you fill out a form, request early access, or send us a message;
  • Company information you choose to share (employer, role, team context);
  • The content of any messages you send us.

2.2 Information Collected Automatically

When you visit askhumanshq.org, we automatically collect limited technical information:

  • IP address and approximate location (city/region level);
  • Browser type, operating system, device class;
  • Pages visited, referring URLs, time on page;
  • Cookie and similar identifiers (see Section 5 and our Cookie Policy).

2.3 We Do Not Knowingly Collect Children's Data

askhumanshq.org is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact [email protected] and we will delete it.

3. Customer-Submitted Employee Response Data

When a customer uploads employee survey responses, exit-interview text, or other free-text feedback to the AskHumans platform, the Company acts as a service provider or data processor on behalf of that customer. The customer is the employer and the party with the direct legal relationship to its employees; the customer controls what data is submitted and retains responsibility for lawful collection.

3.1 What Employee Response Data May Contain

Free-text employee responses may incidentally contain personal information about identifiable individuals, including the respondent's name or initials, references to named colleagues or managers, descriptions of workplace incidents, and in some contexts sensitive information about health, family circumstances, or personal beliefs. Customers should consider the scope of free-text questions they pose and notify employees appropriately about how their responses will be processed.

3.2 How We Process Employee Response Data

We process submitted responses solely to perform the clustering and stakeholder-weighting analysis the customer requests. Processing is automated: the platform applies natural language processing to group semantically similar responses into themes, then weights those themes by which respondent groups are most affected. The output is a structured briefing delivered to the customer. We do not use the content of employee survey responses to train machine learning models, and we do not share or sell response content to any third party.

3.3 Retention of Customer-Submitted Data

Raw response data submitted by customers is retained for the period covered by the customer's active subscription tier (3 months for Starter, 12 months for Growth, as specified in the applicable service agreement for Enterprise). After the retention window lapses, raw response data is deleted. Derived outputs (aggregated theme clusters and weighting reports) do not contain identifiable individual responses and may be retained for service continuity purposes.

3.4 Sub-Processors

We use third-party service providers for cloud hosting and model inference infrastructure. These providers process data only as directed by us and are bound by contractual data-processing obligations consistent with this Policy. We do not disclose individual vendor names in this public policy, but Enterprise customers may request a current sub-processor list under their service agreement.

4. How We Use Website Visitor Information

We use visitor information we collect to:

  • Respond to inquiries and provide information about AskHumans;
  • Operate, maintain, and improve the website;
  • Send service updates and, where required, marketing communications with your consent;
  • Detect, investigate, and prevent fraud or abuse;
  • Comply with legal obligations.

We do not sell personal information for monetary value. Where applicable state law treats certain advertising arrangements as a "sale" or "share," see your state's section below.

5. Sharing of Information

We share personal information only with:

  • Service providers acting on our behalf (hosting, email delivery, analytics) under contractual confidentiality terms;
  • Authorities, when required by law or to protect rights, safety, or property;
  • A successor entity in the event of a merger, acquisition, or asset sale, subject to this Policy.

We do not sell personal information to third parties. We do not sell or share employee response data submitted by customers with any party other than the submitting customer.

6. Cookies and Tracking

We use cookies and similar technologies to operate the site, remember preferences, and measure usage. For details and choices, see our Cookie Policy.

7. Data Retention

Website visitor information is retained only as long as needed for the purposes described, to comply with legal or accounting obligations, and to resolve disputes. Inactive marketing-list contacts are purged after 24 months. Server access logs are retained 90 days, then aggregated. For retention of customer-submitted employee response data, see Section 3.3.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including TLS encryption in transit, restricted-access databases, and least-privilege access controls. No system is perfectly secure; we cannot guarantee absolute security.

9. Your General Rights

Depending on your jurisdiction, you may have rights including access, correction, deletion, and the ability to limit certain processing. To make a request, email [email protected]. We will respond within the timeframe required by applicable law.

10. District of Columbia Residents

The District of Columbia does not currently have a comprehensive consumer privacy statute. As a matter of policy, we extend the following baseline rights to all U.S. residents regardless of state of residence.

10.1 Baseline Rights

  • Right to Know: request the categories of personal information we have collected about you.
  • Right to Delete: request deletion of personal information you have provided.
  • Right to Correct: request correction of inaccurate personal information.
  • Right to Opt Out of Marketing: unsubscribe from marketing emails or opt out via the link in each marketing message.

10.2 How to Exercise

Email [email protected] with a description of your request and enough detail for us to verify your identity. We respond within 45 days.

10.3 Sector-Specific Rights

If you are protected by federal sector laws (e.g., HIPAA, GLBA, FERPA), those laws may give you additional rights with respect to data covered by them.

10.4 California Visitors

If you are a California resident, you may also exercise the rights granted under the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA"), including the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing. We do not sell personal information and do not "share" personal information for cross-context behavioral advertising.

11. Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by a new "Last updated" date and, where appropriate, a notice on the Service.
